Computer Requests, Eligibility, Approvals, Fulfillments



NotesAny staff member can request a computer for the family IF they request one. The information below will guide you on how to request a computer, check status and eligibility, and track shipments.

Student Computer Eligibility

  1. Search for a specific student

  2. Click on “Student Profile”

  3. Under Student Details, click on “Computer Eligibility”

Requesting a Computer

If a Family is Requesting a Computer:

  1. Click on the arrow next to the Computer Choice.

  2. Select “Requested”

  3. Click “submit”

  4. If the student is showing as “Eligible”, the Computer Order status will change to “Pending Approval”

**Approval must go through Operations

Computer Order Status

*Once a computer is approved, the Computer Order status will show as “Approved”

*No other action is needed. A computer has been successfully ordered. 



*Clicking on the link “View Audit Trail” Will open a new window to show computer eligibility history.


*You can track the Computer shipment by clicking on “Computer Fulfillment”.


Tracking a Computer Shipment/Computer Fulfillment

  1. Search for a specific student

  2. Click on “Student Profile”

  3. Under Student Details, click on “Computer Fulfillment”

  4. A new window will open showing the hardware ordered, date, shipping status, and tracking number.

Escalations

Alert
If you are unable to select "computer Choice" to requested, please complete the Computer Escalation Form

Examples of Reasons to Escalate
  • When a Computer Eligibility status is showing as “Not Eligible”

  • Computer Order is showing “Denied”

  • The Computer choice does not allow you to change the status to “Requested”

  • Computer Eligibility and/or Order Status are showing as “Cannot Be Overridden”

  • A shipping address needs to be updated.

  • Laptop needs to be replaced because it was damaged or not functioning properly. 

  • Before requesting a replacement, please direct the LG/LC to contact K12 Tech Support. It is important that the LG/LC provide a K12 ticket number representing that the issue could not be resolved and a replacement should be requested/approved.
